Privacy Policy
How Leap Travel Limited collects, uses and protects your personal information.
Last updated: 24 October 2026
This policy explains what personal information Leap Travel Limited collects through this website and when you deal with us, what we do with it, and your rights. We follow the UK GDPR and the Data Protection Act 2018.
1. Who We Are
Leap Travel Limited is the data controller. We are a company registered in England and Wales, Company No. 15813593, and registered with the Information Commissioner’s Office (ICO registration number ZC244180). Our address is Nut Hill Farm, Great North Road, Aberford, Leeds LS25 3AU. You can contact us about your data at info@leaptravel.co.uk or on 0113 871 5327.
2. What We Collect, Why, and Our Legal Basis
- Enquiries and Quotes. When you use our contact form or quote form, or phone or email us, we collect your name, email address, phone number and the details of your trip (where from, where to, dates, times, group size and any notes you add). We use this to reply and to prepare your quote. Our legal basis is taking steps at your request before a contract is made, and our legitimate interest in running our business.
- Private Hire Bookings. If you book with us, we also keep the booking details, invoicing details and payment records. Our legal basis is performing the contract and meeting our legal duties, including accounting and tax.
- Day Trips and Gift Cards. These are booked on our Square site at daytrips.leaptravel.co.uk. Square collects your booking details and your card payment. We receive your name, contact details, pick-up point and what you booked so we can run the trip. We do not see or store your full card number. Square has its own privacy policy. Our legal basis is performing the contract.
- Access and Assistance Needs. If you tell us about a mobility, medical or access need so we can plan your journey, we use it only for that purpose. We ask you to tell us only what we need to know, and we rely on your consent to use it.
- School and Group Trips. We deal with the adult who books for the group. If an organiser gives us details about children or other passengers, we use them only to plan and run that trip.
- Website Usage. If you click Accept on our cookie banner, we use Google Analytics to see which pages are visited and which links are used. Our legal basis is your consent. See our Cookie Policy.
- Marketing. We only send marketing messages to people who have asked to hear from us, and you can opt out at any time.
3. Who We Share Your Information with
We do not sell your information. We share it only with organisations that help us run the business, and only what they need:
- Netlify, which hosts this website and receives contact form messages.
- Square, for day trip bookings, payments and gift cards.
- Google, for Google Analytics (if you accept cookies), for address suggestions and route distances on our quote form, and for the reviews shown on our site.
- Our Accounting, Email and File Storage Providers, who hold our business records.
- Insurers, Advisers and Authorities, where we need to by law or to deal with a claim or incident.
4. Transfers Outside the UK
Some of these providers process data outside the UK, for example in the United States. Where they do, we rely on UK adequacy rules or approved safeguards such as the UK addendum to standard contractual clauses.
5. How Long We Keep It
- Enquiries That Do Not Become a Booking: only as long as we need to answer you and deal with any follow-up.
- Booking, Invoice and Payment Records: six years after the end of the financial year they relate to, as the law requires for company accounts.
- Analytics Data: for the limited period set in our Google Analytics account.
- Marketing Details: until you ask us to stop.
When we no longer need information, we delete it or make it anonymous.
6. Your Rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or move it to another provider. You can object to us using it for our legitimate interests or for direct marketing, and withdraw consent at any time. Email info@leaptravel.co.uk and we will reply within one month.
7. Keeping Your Information Safe
We limit who can see your information and use reputable providers. No online system is completely secure, so please do not send us card numbers by email. If there is a breach that puts you at risk, we will tell you and the Information Commissioner’s Office as the law requires.
8. Complaints
Please talk to us first so we can put things right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
9. Changes to This Policy
If we change this policy, we will post the new version here and update the date at the top.
